Software, a Property Manager or a Relative? How NRI Owners Should Choose

NRI owners usually start with a relative, then hit a limit. The next steps are a paid manager or software, and the two are not interchangeable. This guide sets out what each handles, what each costs, and where each tends to break, so you can pick one for your situation rather than drifting into whichever is nearest.

What the job actually is

Running a rental has two halves. The physical half is keys, visits, repairs, vacancy checks and the station visit. The record half is rent follow-up, receipts, the agreement, the deposit, the tax paper trail and the annual return. A relative or a manager covers the physical half. Software covers the record half. Most problems come from asking one to do the other's job.

The three options

CostNothing in rupees; a cost in time, favours and relationshipsOften 8% to 12% of monthly rent for unfurnished flats plus a placement fee, per Bengaluru market guides (one summary gives 5% to 10%)A subscription; does not rise with the rent
Where it breaksWhen they move, fall ill, or a dispute makes it personalWhen the fee eats the margin or the manager and tenant disagreeWhen nobody local acts on what the software shows

The fee figures for managers come from Bengaluru-focused guides (8% to 12% of monthly rent for unfurnished flats, a placement fee of about one month's rent, and an onboarding fee of ₹1,000 to ₹5,000) and a NoBroker forum answer (8% to 10%). They are market ranges, not any one company's rate.

Which to choose

  • One tenanted flat, a reliable relative: start with software to keep the record, and keep the relative for the physical half. See the real cost of managing through a relative.
  • A vacant flat, nobody local: a paid manager for the vacancy, then software once a long-term tenant is in.
  • Several flats, or flats in different cities: software for the record, plus a caretaker in each city.
  • An inherited flat shared with siblings abroad: one shared record so nobody carries all the work. Check whether a tool gives every co-owner their own login before you choose.

What to ask before paying anyone

  1. A written fee schedule: monthly, placement, renewal, onboarding, repairs markup.
  2. Who holds the rent and the deposit, and when you receive them.
  3. Who is accountable for TDS paperwork: managers and software generally do not file it (how it works).
  4. The exit: notice period and what happens to your records.

How this page was checked

Competitor details were read from their public pages and listings on 16 October 2026, and are listed below. Products, plans and prices change, so check directly with the provider before you decide.

What we could not verify: We read search summaries of the fee-range sources, not the full articles. No manager's rate card was available, so the ranges are market ranges. The comparison table is a framework from our reading of the options.

Frequently asked questions

Is software enough to manage a property from abroad?

It covers the record half: rent follow-up, receipts, the agreement, the deposit trail. You still need a local person for keys and repairs.

How much do property managers charge NRIs?

Guides report 8% to 12% of monthly rent plus a placement fee of about one month's rent and an onboarding fee of ₹1,000 to ₹5,000. Ask any manager for a written schedule.

Why does managing through a relative fail?

Usually through time, distance and goodwill running out, not bad faith, and because records live in their head. See the blog post on the real cost.

Can I combine a manager and software?

Yes for different phases, such as a manager for a vacancy and software for a long-term tenancy. Avoid both on the same tenancy.

Which is cheapest?

A relative costs no rupees but carries other costs. Between software and a percentage-based manager, software is cheaper as the rent rises.
